Screenshot of the pending package report with sections to explain what each section is and how to use it to audit
Created at column: You will use this column to see when the package arrived in the room. This will be a good indicator of the exact moment it was scanned. Note that some packages may have been dumped in the room and never scanned, so that is why it is good to audit the room to ensure that these packages are in the room and catch any other packages that may need to be scanned into the system.
Resident (Occ) column: you will use this column to identify who the packages belong to. Rule of thumb, if you are a team that sends individual communications to residents, use this name to reach out to specific residents and let them know that they have the package in the room.
Days in the room column: This column will be particularly helpful for the length of time that the packages have been in the room from the “created at” column. If a package is over the day of your RTS policy you will know that you need to focus on that package the most to get it to its specified resident. If the package is right at the policy timeframe, you can decide to give the resident some grace period before actually taking action on the package. Note: if a resident has not picked up the package by the RTS policy time, you can communicate to residents that a vacation request is a good way to suspend the RTS policy on any of their packages. They may have forgotten or did not know about the vacation requests.
Unit column: this will let you know to which unit the package was matched. This is an addition to identifying to whom and to where the package needs to be. If you feel inclined, you may also go and retrieve the packages you want to remove and deliver them to the resident’s door.
Code column: This is the code that is associated with the package. If the resident needs it to enter the room to retrieve this package, you can provide it to them. Please note, the package record has to be in “Pending” status.
Zone column: This area in which the package was placed when it was scanned into the HelloPackage room.
Division column: - Not used for anything at this time.
Image column: This will be helpful to figure out what the package looks like without having to check the resident's address or unit.
Carrier column: The carrier or person(s) who entered the package into the HelloPackage system. Usually, it matches the carrier who delivered the package on the shipping label, but it may also be “other” or “HelloPackage” to show that a staff member or a tasker for Onsite Services was in the room scanning at the time.
